What managed backup actually means

Managed backup means someone else — a provider — operates your backup infrastructure on your behalf. That includes configuring backup jobs, monitoring their success, handling failures, verifying restore integrity, and keeping the underlying software patched and secure.

The key distinction is operational responsibility. With self-managed backup you own the tooling AND the daily operations. With managed backup you own the data, but you hand the operations to a specialist.

What is not managed backup: a cloud storage bucket where you upload files yourself. That is self-managed backup that happens to use cloud storage. Managed backup requires an operator actively watching and maintaining the process on your behalf.

What a managed backup service actually covers

A serious managed backup engagement covers the full operational lifecycle:

Initial setup and hardening. The provider installs and configures the backup software, applies security hardening to the backup infrastructure, and validates that the configuration is correct before the first backup runs.

Job monitoring. Every backup job is checked — not just that it ran, but that it completed without errors and that the data written is consistent. A job that runs but writes corrupt data is worse than no job at all.

Failure response. When a job fails, the provider investigates and resolves it. You receive a notification of what happened and what was done. You do not spend your morning diagnosing why the backup daemon stopped responding.

Restore testing. Backups that have never been restored are assumptions, not guarantees. A managed provider validates restore integrity on a defined schedule and provides evidence that the data is actually recoverable.

Software maintenance. Backup software has security vulnerabilities like any other software. The provider keeps the stack patched and updated, including the Bacula director, storage daemon, and file daemons on client systems.

Reporting. You receive regular reports covering job outcomes, storage consumption, retention compliance, and any incidents. Evidence of due diligence without having to ask for it.

When managed backup makes sense

Managed backup is not the right fit for every organisation. It makes sense when one or more of the following apply:

You lack dedicated backup expertise in-house. Bacula, for example, is powerful but operationally demanding. Getting it right requires knowledge of job scheduling, pool and volume management, storage daemon tuning, and failure recovery. If that expertise does not exist on your team, managed backup eliminates the learning curve and the operational risk that comes with it.

Your team's time is better spent elsewhere. Even if your team can operate backup infrastructure, the question is whether they should. Managed backup frees engineers to work on product, infrastructure, and security rather than debugging why a volume hit its maximum concurrent jobs limit at 3am.

You need compliance evidence. NIS2, DORA, ISO 27001, and similar frameworks require documented evidence of backup controls — not just the backup itself, but proof that it works. A managed provider produces that evidence as a standard output of operations. Building an equivalent audit trail internally requires significant additional effort.

You have multiple environments to protect. A single-server backup setup is manageable. When you add staging environments, multiple production regions, databases with point-in-time recovery requirements, and varied retention policies, the operational complexity grows quickly. A managed provider handles that complexity as a core competency.

If you decide managed backup makes sense, evaluate providers on these criteria:

Data ownership. Your backups should remain yours, in formats you can access independently. Avoid providers who store backups in proprietary formats that only their tooling can read. Vendor lock-in on backup is a serious continuity risk.

Security posture. How is the backup infrastructure hardened? Who has access to backup data? How are credentials managed? A provider who cannot answer these questions specifically has not thought them through.

Restore SLA. Backup speed matters less than restore speed. What is the committed time to restore a single file? A full system? A database? Get specific numbers.

Transparency. You should receive regular, detailed reports — not just "all backups succeeded." Ask to see a sample report before committing.

Compliance support. If you have regulatory requirements, confirm the provider can produce the specific evidence your auditors will request.
